Description:

RESPONSIBILITIES:

  • Replies to the general email account or forwards emails to senior staff as appropriate
  • Updates the Faculty of Graduate Studies (FGS) website as required and maintains and updates FGS social media accounts including adding content and interacting with other accounts
  • Writes news stories and features for the FGS website, social media. and newsletter
  • Assists with filming or filming content or editing video/picture editing content for the FGS website, newsletter, and social media
  • Writes reports under guidance of for senior office staff or proofreads reports and written documents for senior office staff.
  • Creates and edits standardized forms (except Senate approved forms) as required
  • Creates email templates for automatic replies and for their use in replying to FGS email
  • Assistance in planning events and filling out paperwork for events (booking space, catering, etc).
  • Attending events at the University Reception: greeting and directing people to the appropriate person in the FGS office
  • Filing: paper and digital sorting and filing
  • Thesis binding: arranging for binding of complete theses
  • Preparing spreadsheets or compiling information into a spreadsheet
  • Other duties as assigned

QUALIFICATIONS:

  • BA or College Diploma in Communications or related discipline OR  recent and significant experience in the field of Communications or a similar field.
  • Proficient in Microsoft Office programs, Adobe (Pro, Acrobat, Photoshop) is required
  • Proficient in a variety of social media platforms is required
  • Experience with Cascade, Envoke, and other website maintenance programs an asset
  • Video and/or photo editing skills is an asset
  • Experience providing administrative support in an office environment
  • Experience in Event planning
  • Experience updating and maintaining a social media account for a business/institution and website
  • Able to create, edit, proofread forms, reports, and documents and write short editorial pieces or blog posts
  • Able to communicate via email and telephone in a professional environment
  • Able to work to a deadline
  • Exceptional organizational, time management, and interpersonal skills
