Acquisitions & Metadata Assistant, Library Acquisitions & Metadata Unit

The mission of the UWinnipeg Library is to provide and organize resources necessary to effectively support teaching, and research. The Acquisitions and Metadata Assistant is a full-time continuing position. The successful candidate will prepare, process and track orders (for digital and physical Library resources) by: identifying vendor/access options, creating order records, entering encumbrances, receiving new resources, paying invoices, and liaising with vendors, faculty, and staff. Additionally, they will create, derive, modify, and update records describing the library’s digital and physical resources, and perform troubleshooting on digital resource records and access.

Responsibilities:

• Determines availability and best vendor/supplier option for print book, eBook, and video orders.
• Uses the Integrated Library System and other web-based tools to: create order records, make payments, pay invoices, and track orders
• Works with the Acquisitions Supervisor to ensure orders are received, processed, and encumbered appropriately.
• Places claims for materials not received or not properly received.
• Monitors expenditure records for departmental book budgets, and regularly reports budget information to subject librarians.
• Performs title reconciliations, creates new database records, activates or deactivates titles and/or collections, updates licensing and proxy information, etc. on various resource management systems.
• Ensures digital collection metadata is accurate, and that links are working both on- and off- campus within various electronic resource management systems.
• Performs original and copy cataloguing in MARC and non-MARC formats.
• Uses automated or manual procedures to modify, update, or activate records describing Library resources.
• Applies appropriate standards and procedures for resource description.
• Collaborates with colleagues to address bias in our institution’s metadata, and to create more inclusive descriptions of our resources.
• Participates in developing and maintaining policies, procedures, and manuals for Acquisitions and Metadata.
• Performs initial troubleshooting on digital resource record and access issues, referring more complex issues.
• Tracks reported digital resource issues from beginning to end.
• Participates in the development and maintenance of troubleshooting workflows.
• Attends meetings and takes part in Library committees.

Qualifications:

• A 2-year diploma from a recognized Library technician’s program (or equivalent).
• Undergraduate degree would be an asset.
• Directly related library experience, using procedures and systems appropriate to the area.
  • Familiarity with OCLC’s WMS would be an asset.
• Experience with ordering, receiving, and paying invoices for resources.
• Experience with descriptive metadata work, using standards and vocabularies such as RDA, MARC 21, KBART, LCC and LCSH.
• Experience with Microsoft 365, especially Outlook, Excel, and Teams.
• Attention to detail.
• Ability to understand and follow oral and written instructions.
• Ability to work independently and cooperatively with others.
• Ability to communicate effectively with faculty, staff, and vendor/publishers.
• Working understanding of knowledge bases and/or related tools.
• Demonstrated problem solving and critical thinking skills.
• Demonstrated initiative to learn new technologies and software.

An equivalent combination of education, experience, skills, knowledge and abilities may be considered. 

Condition(s) of Employment:

• Must be legally entitled to work in Canada.

The salary range for this position will be from $40,677.00 to $56,110.60 annually.
