Position Summary

Performs receptionist duties and related administration work for Home Office while providing customer service and building customer relationships.


  1. 40 % - Performs receptionist duties including switchboard operation, greeting customers, redirecting phone, updating boardroom schedules, and ordering lunches for meetings

  • No customer complaints
  • Phone answered promptly and calls are redirected appropriately
  • No double-bookings in boardrooms
  • Request lunch for the appropriate time
  1. 30 % - Processes mail for all branches through Canada Post, Inter-office, and courier services by sorting, stamping, dating, and forwarding correctly

  • Mail goes to correct locations and arrives on time
  1. 20 % - Sorts and files parts invoices daily

  • Correctly sorting the invoices
  • Filing accurately and timely
  1. 5 % - Sorts and mails out R&L invoices daily

  • Ensure correct address on all the invoices
  • Creates and stocks labels for invoices too large for regular envelope
  • Invoices reach customer in a timely manner
  1. 4 % - Conducts various administration including: issues petty cash, codes charges to correct accounts, reconciles as needed (3hr/month); reconciles invoices for coffee machines in Home Office; order business cards for Truck Salesmen; ensure showroom catalogue displays are full; keep office supply area stocked for front desk.

  • Petty cash and receipts balance for the front desk
  • Coffee invoices reconcile
  • Stock inventory is maintained or promptly replaced for front desk
  1. 2 % - Drafts letters/correspondence and types various forms for home office staff

Performance Coaching Standards

  • Drafts require no corrections
  • Letters are sent timely and to the correct recipient
  1. Other duties as assigned

Minimum Qualifications

Education & Experience:

  • Minimum 1 year of related office experience with a minimum 6-line switchboard and demonstrated customer relations.



  • Proficient in MS Office and keyboarding
  • Organized, sets and meets priorities
  • Ability to work with interruptions
  • Ability to work independently with little supervision
  • Customer service focused
  • Problem solving skills an asset


  • Hours, Monday to Friday from 8:00 am to 5:00 pm
