Manager, Systems Development


Under the direction of the Manager, Systems Development, the Administrative Support Representative carries out various administrative tasks for various business sponsored projects.  Responsibilities may include coordinating/attending meetings and preparing/distributing meeting minutes, researching, creating and maintaining reports and spreadsheets, performing support tasks such as data entry, filing, photocopying/distribution of correspondence, and providing such other administrative support, as required. 


  • Coordinates and attends meetings, and prepares/distributes meeting minutes, as required.
  • Follows up with action items from status and planning meetings, as directed.
  • Maintains common folders for Project Management team use.
  • Researches, creates and maintains reports, data analysis and spreadsheets.
  • Assists department in implementation of project management controls.
  • Performs routine support tasks including, but not limited to, data entry, filing, photocopying, distribution of correspondence, answering telephones, maintaining records, etc.
  • Supports the project governance processes including change and decision management processes.
  • Performs other duties/projects as assigned by the Manager, Systems Development.


  • Dedicated to the principles of exceptional service; committed to responding to, anticipating and addressing customer needs, for both internal and external customers.
  • Completion of, or in the process of completing, an administrative/secretarial program from a recognized post-secondary vocational institution or community college and related administrative experience.
  • Minimum 1 – 3 years’ administrative experience.
  • Solid working knowledge of Microsoft Office Programs (Word, Excel, PowerPoint) and MS Projects.  Typing speed of 50-60 w.p.m.
  • Good verbal and written communication skills including strong grammatical ability.
  • Ability to demonstrate workgroup cooperation; accommodating to direction provided by others while exercising independent judgment within accepted guidelines.
  • Excellent organizational skills with the ability to handle multiple projects, deadlines and the priorities of multiple stakeholders.
  • High attention to detail.
  • Demonstrated ability to be flexible, a self-starter and extremely reliable. 
  • Previous attendance at meetings and transcription of minutes would be an asset.
  • Shorthand/speedwriting would be an asset.
  • Industry knowledge an asset.
  • Previous project management knowledge or experience an asset.
