As a key member of the Property Management team, the Property Coordinator is the primary connection between residents and Forthright Properties. This role is responsible for ensuring a positive resident experience through clear communication, efficient issue resolution, and proactive support. Property Coordinators regularly meet with residents to address concerns, conduct site walks to monitor cleanliness and identify lease infractions, and ensure that community standards are consistently upheld. They also oversee and physically complete move-ins and move-outs at various sites, manage resident inquiries and concerns through Entrata, and coordinate maintenance requests to help maintain safe, well-kept communities where residents feel at home. This role will be based out of our Festival Drive location office in Headingly, MB.

 

Key Responsibilities:

  • Serve as the main point of contact for residents, addressing inquiries, complaints, and concerns with professionalism and empathy.
  • Conduct property site walks to monitor cleanliness, identify lease infractions, and proactively resolve issues with residents.
  • Manage incoming resident concerns and communications in Entrata, ensuring all interactions are accurately documented.
  • Provide first level triage of maintenance requests, adding work orders in Entrata if onsite service is required
  • Understand, apply, and advise on Residential Tenancies Branch (RTB) rules and regulations; stay informed of changes and maintain positive working relationships with RTB staff.
  • Issue and follow through on all resident notices, including:
    • Notices of termination for tenancy-related issues or nonpayment of rent 
    • Individual warning notices
    • Maintenance or contractor notices of entry
  • Handle difficult conversations with residents, including the issuance of warnings, arrears discussions, and dispute resolution.
  • Facilitate mediation payments with claim residents directly or through RTB when required.
  • Prepare and distribute year-end rental receipts.
  • Coordinate and complete resident move-ins and move-outs, including:
    • Work the last day and first day of each month to support turnovers, move-ins, and move-outs, as these are peak operational days.
    • Ensuring documentation is complete and accurate
    • Documenting suite conditions and deficiencies
    • identifying work required for turnover
    • Taking utility meter readings and entering into Landlord Express
  • Orienting residents on suite systems (furnace, HRV, etc.)
  • Provide additional support for on-site property operations, including upkeep of common areas and leasing assistance as needed.

Qualifications:

•    Three (3) years’ experience in property management or property operations.
•    Valid Class 5 driver’s license and access to a vehicle is required.
•    Strong computer proficiency in MS Word, Excel and Outlook.
•    Strong customer service skills with proven ability to manage difficult conversations effectively.
•    Excellent communication, conflict resolution, and tenant relations skills.
•    Demonstrated ability to problem-solve, mediate, and resolve conflicts independently.
•    Highly organized, detail-oriented, and able to manage multiple priorities in a fast-paced environment.
•    Team-oriented with strong collaboration and support skills.
•    Knowledge of Entrata property management software or similar systems preferred.
•    CPM designation or active candidacy is considered an asset.
