OVERVIEW

Reporting to the Supervisor, Consumer Credit Administration, the Consumer Credit Administrator works as part of a team responsible for providing consumer loan administration support. Specific tasks will be assigned upon hire. The Consumer Credit Administrator’s responsibilities include processing documentation and transaction requests, performing follow up procedures, and responding to sales requests and inquiries. These positions include being responsible for processing loan advances, loan account modifications, completing reconciliations and associated remittances, managing and processing loan related administration on existing accounts such as property taxes, fire insurance renewals, paid account processing and various reporting and internal risk controls, with the ability to provide back-up within the department as necessary. This position is a Full time term position (up to a five month duration) with working hours to be scheduled Monday to Friday.

KEY ACCOUNTABILITIES

  • Ensuring accurate, legal and timely completion of loan administration requirements, allowing member lending needs to be met in a timely fashion.
  • Maintaining thorough and current knowledge of Credit Union policies, procedures and related legislation and regulations.
  • Providing administrative support to the sales team as required including on-line submission requests for processing and responding to inquiries.
  • Performing routine consumer loan verifications and review system-generated consumer loan reports to identify and initiate any action required.
  • Contributing to the overall department objectives and actively participating in team efforts to improve efficiencies and meet service standard commitments.
  • Each administrator will have a primary responsibility while providing back-up support within their team.

Examples of specific tasks associated include:

  • Responsible for validation of accurate document packages submitted from sales teams according to established policy and procedures.
  • Responsible for providing accurate and timely back office administration support to the sales team for consumer loan disbursements and maintenance on consumer loan accounts, including but not limited to:
    • Ensuring the receipt of required consumer mortgage collateral documentation to support the preparation and issuing of Solicitor Instructions
    • Ensuring the completion of required consumer loan funding/disbursement documentation according to established verification standards.
    • Register collateral security: personal property registries and land title offices within legislative standards to perfect security.
  • Ensure related tasks are completed as required including but not limited to: CAFT, allotment, property tax account set-ups, etc.
  • Providing accurate and timely back office administration support to the sales team for consumer lending related transactions that occur after an account is booked on the banking system, including but not limited to:
    • Performing routine verifications and review of banking system generated reports according to established Credit Union guidelines and identify and initiate action required.
    • Ensure processing of maintenance transaction requests are completed accurately and timely as requested by sales
    • Ensuring the completion of required CAFT documentation and processing of requests, management of rejected and returned payments, and daily reconciliation of associated internal accounts and general ledgers
    • Management of insurance related products, internal and GL account reconciliations, posting of disability and life payments, correction of setup errors
    • Management of consumer members fire insurance coverage on mortgaged collateral
    • Monitoring monthly Personal Property Registry collateral security expiries and ensuring extensions are processed within deadlines
    • Providing loan payout quotes and processing paid loan files, releasing collateral, managing paid file documentation according to Credit Union standards and legislative requirements
    • Acting as a back up to the Filing Administrators who are responsible for all members’ paper file records for consumer lending, registered plans and Outlook Financial business streams, including inventory control for both active and closed records and off site records management.               

EDUCATION & EXPERIENCE

A minimum of grade 12 diploma plus one to three years of job related experience or an equivalent combination of education and experience.

TECHNICAL COMPETENCIES

  • Basic accounting skills
  • Intermediate EXCEL knowledge level
  • Knowledge of credit union products, policies and procedures
  • Working knowledge of credit union technology (e.g. Banking System, Microsoft Office, Internet)
  • Basic computer application skills
  • Knowledge of credit union philosophies and principles
  • General understanding of credit union operation
