Position Summary

 

Performs receptionist and administration work to ensure customer service and accurate information is provided for our customers and accounting systems.

 

Responsibilities

 

  1. 20-40 % - Performs receptionist duties including switchboard operation, greeting customers, redirecting phone and e-mail inquiries and taking messages

  • Customer feedback
  • Phone answered promptly and calls are redirected appropriately
  • Professional, customer-service focused manner
  • Urgent requests are dealt with immediately

 

  1. 20-40 % - Provides related administration for the location, which may include:
  • Ensures new staff paperwork is completed and forwarded to Payroll
  • Submits biweekly hours for hourly paid staff to Payroll
  • Administers petty cash
  • Liaison for building & office equipment repair, maintenance, & recycling
  • Reconciles waybills to invoices for couriers
  • Inputs branch information into spreadsheets and sorting reports
  • Cheque requesitions and daily bank deposits
  • Prepares courier services and processing incoming/outgoing mail
  • Types letters and general filing
  • Orders office supplies

 

Performance Coaching Standards

  • Work is completed to mutually agreed to deadlines and standards
  • Feedback from internal customers
  • General products and specifications are learnt to understand work better
  • basic office supplies to not run out
  • Word porcessing is accurate and in a professional format
  • Mail is sorted accurately the first time
  • Banks deposits are completed accurately by the daily deadlines

 

  1. 15 % - Performs branch accounts payables function by matching slips to invoices, providing G/L codes, checking pricing and posting

 

Performance Coaching Standards

  • Work is completed by mutually agreed to standards and deadlines
  • Obviously inaccurate information is identified and questioned

 

  1. 14-23% - Other duties as assigned such as providing back up to other staff

 

 

 

Minimum Qualifications

 

Education & Experience:

  • 2 years of related office experience including switchboard/reception and basic  accounting (A/P, A/R, bank deposits)
  • Experience in the retail or service industry

 

Skills:

 

Required

  • Professional and courteous phone manner
  • Customer service focused
  • Proficient with MS Word/Excel/Outlook with accurate keyboarding
  • Exposure to a central billing system
  • Highly organized, sets priorities, meets deadlines
  • Shows patience, flexibility and initiative
  • Ability to work with interruptions

 

Asset or Preferred

  • Basic accounting course(s)
  • Familiarity with the transportation industry

 

 

Hours: 

  • 8:00 am to 5:00 pm, Monday to Friday
